Project Analytics:
When you and your team start tracking time for projects and jobs, you’ll be able to track progress on each project using project analytics. To view project analytics, open projects form and then open tab: “Project Analytics”
Below are the parameters we track:
Total Time: Total Time tracked on this project. This is the total of “Actual Time” of time-entry record. This is a roll-up field in project record.
Billable Time: Total billable time tracked on this project. This is the total of “Actual Time” of time-entry record where “billable” is set to true. This is a roll-up field in project record.
Non Billable Time: Total non-billable time tracked on this project.////////////is this a calculated field?
Amount: Total of extended price of all time-entries tracked to this project.
If you enable project estimation then we also track project progress – estimated VS tracked.
Tracking Project Estimate:
You can estimate time or budget for a project and then compare estimated vs tracked time as the project progresses.
This can help you see if you are charging enough for current projects as well as help better estimate future ones.
Zap PSA supports two types of estimation: Time-based and Budget based:
If you are doing a time-based estimate then for field “Project Estimate” (in project form)…select “Time Estimate” , else for budget based estimation… select “Project Budget” (e.g. for Fixed Fee projects, you could use “budget” based estimation)
This can be further broken down based on the type of estimation technique.
Zap PSA supports 2 types of estimation techniques:
1. Manual – for the whole project
2. Job-based
Now let’s go through each one of them:
1. Time-Based Estimation:
1.1 Manual
For Manual estimate, you can enter the total estimate in field: Project. Project Time Estimate – Manual.
1.2 Job-based
For job-based estimation, you need to enter estimate for each job in field: Job. Time Estimate.
This will then be rolled up to project record in field: Project. Project Time Estimate – Job based.
2. Budget Based Estimation:
2.1 Manual
For Manual estimate, you can enter the total estimate in field: Project. Project Budget Estimate – Manual.
This is generally used when you have pre-decided budget for the whole project.
2.2 Job-based
For job-based estimation, you need to enter estimate for each job in field: Job. Budget Estimate.
This will then be rolled up to project record in field: Project. Project Budget Estimate – Job based.
